Destination Fyn is committed to protecting your personal data.

1. We are the Data Controller – how can you contact us?

The objective of this Data Protection Notice is to inform you about how we at Destination Fyn process the personal data you have provided to us, or which we have collected in connection with the purposes listed in Section 3 below, when you take on the role of i) job applicant, ii) website user, iii) newsletter recipient, iv) partner and supplier, v) participant in fact-finding and press trips, vi) participant in trade fairs, workshops and partner events, vii) guest at Destination Fyn, viii) participant in market surveys, or ix) competition participant.

We will exclusively process your personal data in accordance with this Data Protection Notice and the legislation to which we are subject, including the European Parliament and Council Regulation 2016/679 on the protection of natural persons in connection with the processing of personal data and on the free movement of such data (“the General Data Protection Regulation”), and Act No. 502 of 23 May 2018 on supplementary provisions to the General Data Protection Regulation, as well as other legislation that supplements these regulations.

3. Which personal data we collect, where we collect them from, the purposes for which we collect them and the legal basis for processing your personal data

We take personal data protection extremely seriously and strive to maintain the greatest possible transparency with regard to our collection and processing of personal data. When we process personal data about you, we want to ensure that you know precisely what information we are processing, and for what purpose.

The following sections provide specific information concerning the groups of people about whom we process information.

Job applicants

In most cases, we will collect the data directly from you. However, we may also collect information about you from other sources, including recruitment agencies, the references you provide us with, and publicly accessible sources. If we collect references, we will always ask for your consent in advance.

We may also collect information about you from publicly accessible sources, including social media. When, in certain circumstances, we ask you to complete a qualification and/or personality test, we process the information you provide with a view to assessing your qualifications, skills and personality in relation to the position in question.

The purpose of this processing is, under our remit to exercise official authority, to take on employees, cf. Article 6(1)e of the General Data Protection Regulation.

Having obtained your consent, we may collect information about you from referees, including details of your work experience and skills.

The purpose of this processing is, under our remit to exercise official authority, to take on employees cf. Article 6(1)e of the General Data Protection Regulation, as well as to document that you have granted your consent, cf. Article 6(1)a of the General Data Protection Regulation.

When you submit your application with appendices including your CV, portrait photo, references, exam certificates and test results – if appropriate – we process your data with a view to evaluating your suitability for the position, including considering whether to invite you in for an interview and potentially to offer you the position.

The purpose of this processing is, under our remit to exercise official authority, to take on employees and to implement measures prior to entering into a possible contract of employment, cf. Article 6(1)b and e of the General Data Protection Regulation.

Users of the website

When you visit the Destination Fyn website (including the “Visitfyn” domain), we collect information about your use of the website, including the type of browser you are using, the search terms you enter on the website, your IP address, including your network location, technical data about your computer and your browser behaviour, as well as other information about your computer. We collect these data using cookies and other similar technologies. You can read more about our use of cookies in our cookie policy.

The purpose here is to optimise both the user experience and the website function, including the compilation of statistics. This processing is necessary for the purposes of performing a task that is classified under the remit to exercise official authority vested in Destination Fyn, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

When you contact us via our contact details on our website, we can process data including your name and email address, as well as any other information you may choose to send us in connection with your enquiry.

The purpose in this context is to respond to your enquiry. The processing is necessary for the purposes of performing a task that is classified under the remit to exercise official authority vested in Destination Fyn, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

Recipients of newsletters

When you subscribe to one or more of our newsletters, we collect information including your name and email address, the newsletter(s) you wish to receive, and confirmation that you have given your consent to receive newsletters by email. Depending on the newsletter(s) to which you subscribe, we may also collect information about the company/organisation you work for, your job title, phone number and address, and the name of your Instagram profile, blog or similar.

The purpose here is to be able to send you the newsletter(s) you have requested to receive, and to market Denmark as a tourist destination in relation to the performance of the task that Destination Fyn, as a public authority, has been allocated, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation. It is also to be able to document that you have given your consent to receive newsletters by email, cf. Article 6(1)a of the General Data Protection Regulation.

When you subscribe to our newsletters, we primarily collect the information from you directly. We do this, for example, when you subscribe via our website or when you ask to receive newsletters in connection with trade fairs, partner events, workshops and various other activities – including competitions – run under the auspices of Destination Fyn.

Partners and suppliers

When you, as the contact for one of our suppliers or partners, communicate with us, or enter into agreements with us on behalf of the company, organisation or authority you represent, we collect and process information including your name, phone number, email address, workplace and position.

The purpose here is to be able to communicate with you and the company, organisation or authority you represent, and to conduct Destination Fyn’s work to market Denmark as a tourist destination in relation to the performance of the task that Destination Fyn, as a public authority, has been allocated, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

In most cases, we will collect the data directly from you. However, we may also collect information about you from other sources, including your employer and your colleagues.

Unsolicited enquiries

When you submit an unsolicited enquiry to Destination Fyn, we collect and process the information you provide, which typically includes your name, phone number, email address and other information in relation to your enquiry. The purpose here is to be able to communicate with you in the context of replying to your enquiry and to conduct Destination Fyn’s work to market Denmark as a tourist destination in relation to the performance of the task that Destination Fyn, as a public authority, has been allocated, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation. In this regard, we will only collect the information directly from you.

Participants in fact-finding and press trips

When you, as a tour operator, travel agent, journalist, influencer or other representative, participate in fact-finding and press trips, we can collect and process information including your name, address, email address, phone number, job title, gender, marital status, nationality, date of birth and passport number, as well as information about your next of kin, links to your profile(s) on social media, and any special preferences and needs you may have in relation to your diet. In special cases, we may also collect and process special categories of personal data, including health data regarding allergies and illnesses.

The purpose here is to be able to communicate with you and prepare a bespoke programme for you in connection with your fact-finding or press trip. This includes taking care of the necessary travel arrangements and precautions, and to conduct Destination Fyn’s work to market Denmark as a tourist destination in relation to the performance of the task that Destination Fyn, as a public authority, has been allocated, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

We only collect and process health data and other special categories of personal data if we consider this to be relevant and objective in relation to the specific programme that is prepared for you, and if you have given us your express consent to do so, cf. Article 9(2)a of the General Data Protection Regulation.

In most cases, we will collect the data directly from you, including when we communicate with you and when you fill out one of our forms/charts for use in the context of your upcoming fact-finding or press trip. We may, however, also collect information about you from other sources, including our partners and suppliers, as well as from articles and other published media.

Participants in trade fairs, workshops and partner events

When you participate in trade fairs, workshops and partner events, we can collect and process information including your name, email address, phone number, company and title. This also extends to situation photos where you may be present. In special cases, we may also collect and process special categories of personal data, including health data regarding allergies.

The purpose here is to be able to communicate with you and to conduct Destination Fyn’s work to market Denmark as a tourist destination in relation to the performance of the task that Destination Fyn, as a public authority, has been allocated, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

As a part of Destination Fyn’s work to market Denmark as a tourist destination, Destination Fyn occasionally takes situation photos of trade fairs, workshops and partner events, which may include you as a participant. In the event of photography, you will be informed of same through the highly visible signs at the event. You can always request not to be photographed, either by speaking directly to the photographer or by contacting the Destination Fyn stand.

We only collect and process health data if we consider this to be relevant and objective in relation to your participation, and if you have given us your express consent to do so, cf. Article 9(2)a of the General Data Protection Regulation.

In most cases, we will collect the data directly from you, including when we communicate with you, when you give us your business card, and when you register for trade fairs, workshops or partner events.

Guests visiting Destination Fyn

When you visit Destination Fyn and log onto our guest network, we collect and process information about your MAC address, IP address, the host name of your computer/devices, and the web addresses from which you collect data.

The purpose here is to gain insight into the activities that take place on Destination Fyn’s guest network with a view to optimising the solution and performing troubleshooting. This processing is necessary for the purposes of performing a task that is classified under the remit to exercise official authority vested in Destination Fyn cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

Participants in market surveys

When you, as the contact or representative of a company or organisation, participate and provide answers in market surveys or satisfaction surveys, we can collect and process information such as your name and email address, as well as the answers you have given in connection with the satisfaction survey, including data about your company’s/organisation’s satisfaction with Destination Fyn’s activities and events.

The purpose here is to collect information about the company’s/organisation’s completion of courses and conferences, as well as the consumption of same. It is also to allow us to measure satisfaction with our activities and events so as to be able to conduct Destination Fyn’s work to market Denmark as a tourist destination in relation to the performance of the task that Destination Fyn, as a public authority, has been allocated, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

In most cases, we collect information such as your name and email address from other tourism organisations. However, we may also have your contact information in our system from previous relevant communication, including if the company or partner you work for is a partner of or supplier to Destination Fyn.

Participants in competitions

When you participate in competitions, we can collect and process information such as your name, email address and phone number.

The purpose here is to be able to communicate with you and with a view to conducting Destination Fyn’s work to market Denmark as a tourist destination in relation to the performance of the task that Destination Fyn, as a public authority, has been allocated, cf. Act no. 648 of 15 June 2010 concerning Destination Fyn and cf. Article 6(1)e of the General Data Protection Regulation.

In most cases, we collect the information directly from you in connection with your registration for the competition.

4. Recipients of personal data

Your personal data may be transferred to suppliers, partners, contractual partners or other third parties who process information on behalf of Destination Fyn. These companies are “Data Processors” and, in accordance with our instructions, process data for which we are the Data Controller. Data Processors may not use the information for any purposes other than fulfilling the agreement with us, and they are obliged to treat all data as confidential. We have entered into a Data Processor Agreement with all our Data Processors, who comply with the requirements stipulated in Article 28 of the General Data Protection Regulation. This article obliges these Data Processors to implement appropriate technical and organisational measures in such a manner that processing will meet the requirements of the Regulation and ensure the protection of the rights of the data subject.

Moreover, your personal data may be disclosed to public authorities to the extent that such is required under a legal obligation, or necessary to the performance of the assignment Destination Fyn has been allocated.

In certain circumstances, we may transfer your personal data outside the EU/EEA to recipients who may not necessarily maintain the same level of protection for the processing of personal data as applies within EU/EEA countries. In such cases, we will inform you of the necessary or appropriate guarantees and explain where you can find and access them.

Job applicants

Your personal data may be transferred to our Data Processors, including our suppliers of e-recruitment systems, providers of personality analyses, and our hosting providers to the extent that we register your data in our IT systems.

Users of the website

We work with external partners in areas such as technical operation, improvements to and hosting of the website, as well as targeted marketing. These companies are “Data Processors” and, in accordance with our instructions, process data for which we are the Data Controller.

Two of these Data Processors – Google Analytics c/o Google LLC and Google Tag Manager c/o Google LLC – are established in the United States. The requisite guarantees for the transfer of information to the United States are assured through the certification of the Data Processor under the EU-U.S. Privacy Shield, cf. Article 45 of the General Data Protection Regulation.

Recipients of newsletters

We work with external partners for issuing newsletters. These companies are “Data Processors” and, in accordance with our instructions, process data for which we are the Data Controller.

Partners and suppliers

Your personal data may be transferred to our Data Processors, including our hosting providers, to the extent that we register your data in our IT systems.

Your personal data may additionally be forwarded to other external partners or suppliers to the extent this may be necessary.

Participants in fact-finding and press trips

Your personal data may be transferred to our Data Processors, including our hosting providers to the extent that we register your data in our IT systems.

Your personal data may additionally be forwarded to external partners, including destination partners, travel organisers, hotels and restaurants, to the extent this may be necessary in order to prepare and execute the trip in which you are to participate. We only forward special categories of information – including information about allergies and illnesses – to our partners if you have given us your explicit consent to do so.

Participants in trade fairs, workshops and partner events

Your personal data may be transferred to our Data Processors, including our hosting providers to the extent that we register your data in our IT systems.

Your personal data may additionally be forwarded to external partners to the extent this may be necessary in order to prepare and execute the trade fair, workshop or partner event in which you are to participate. We only forward special categories of information – including information about allergies – to our partners if you have given us your explicit consent to do so.

Your personal data may also be forwarded to other participants in the event in the form of a list of participants that features the participants’ names and companies.

Guests visiting Destination Fyn

Your personal data may be transferred to our Data Processors, including our hosting providers to the extent that we register your data in our IT systems.

Participants in market surveys

Your personal data may be transferred to our Data Processors, including our hosting providers, to the extent that we register your data in our IT systems, and to analysis institutes.

In certain circumstances, we publish the results of our analyses and surveys. In such cases, the information will be published at aggregated level, which means that it is no longer possible to trace the information to specific individuals.

Participants in competitions

Your personal data may be transferred to our Data Processors to the extent that we register your data in our IT systems.

In certain countries, your personal data will be shared with external parties including notaries and lawyers in accordance with the local legislation. Information about this will be published in the terms and conditions of the competition.

5. Storage of your personal data

We delete your personal data when we no longer have an objective reason to continue storing and processing them.

Special legal rules, including archiving legislation and the statute of limitations and bookkeeping acts, etc. may mean that we have a right or an obligation to store your personal data for longer. Moreover, we reserve the right to store your personal data for a longer period than stated below if we consider this to be necessary to establish, submit or defend a legal claim.

Job applicants

Applications received from applicants who are not offered employment are deleted no later than six months after the end of the application round in question, unless you have given your consent to a longer period of storage.

Unsolicited applications that are not utilised in a current appointment process are deleted no later than six months after reception, unless you have given your consent to a longer period of storage, or we are legally obliged to retain the application.

Users of the website

Information collected in connection with your use of Destination Fyn’s websites is deleted when we no longer have an objective purpose for saving and processing it.

Information collected in connection with general enquiries is deleted progressively as these enquiries are dealt with, unless we are legally obliged to retain the enquiry.

Recipients of newsletters

Information collected in connection with your registration for our newsletters is deleted when you withdraw your consent to receive the newsletter(s) in question, unless we are legally obliged to retain the information.

However, we will retain documentation of your consent for two years after you have withdrawn it.

Partners and suppliers

Your personal data are deleted in connection with the expiry or termination of the working relationship with our partner or supplier, unless we are legally obliged to retain the information.

Participants in fact-finding and press trips

Information collected in connection with our communication with you is deleted when we no longer have an objective purpose for saving and processing it.

Information collected in connection with the preparation and execution of fact-finding trips is deleted three months after the conclusion of the trip, unless we are subject to a legal obligation to retain the information. Special categories of personal data which we process on the basis of your consent are deleted no later than the time when we no longer need this information, or when you withdraw your consent, unless we are legally obliged to retain the information.

Participants in trade fairs, workshops and partner events

Information collected in connection with our communication with you is deleted when we no longer have an objective purpose for saving and processing it.

Information collected in connection with your participation in trade fairs, workshops or partner events is deleted no later than three months after the conclusion of the event, unless we are subject to a legal obligation to retain the information. Special categories of personal data, which we process on the basis of your consent, are deleted no later than the time when we no longer need this information, or when you withdraw your consent, unless we are legally obliged to retain the information.

Guests visiting Destination Fyn

Information collected in connection with your use of our network is deleted automatically one month after it was collected, unless we are legally obliged to retain the information.

Participants in market surveys

Your personal data are deleted or aggregated – i.e. anonymised – immediately after we have completed our market survey in the absence of any statement to the contrary in connection with the survey in question, or unless we are legally obliged to retain the information.

Participants in competitions

Information collected in connection with our communication with you is deleted when we no longer have an objective purpose for saving and processing it.

Information collected in connection with the competition is deleted no later than three months after the winner was chosen. In certain countries, it will be necessary to retain the information for longer, pursuant to the local legislation. Information about this will be published in the terms and conditions of the competition.

6. Your rights

Under the provisions of the General Data Protection Regulation, you have a number of rights in relation to our processing of information about you. With a view to ensuring transparency concerning the processing of this information, we explain your rights in the following sections.

The right to insight

You are, at all times, entitled to ask us to provide information about aspects such as which information we have registered about you, what purpose the registration serves, which categories of personal data and recipients of information there may be, as well as information about the source of the information.

You are entitled to receive a copy of the personal data about you that we process. If you wish to receive a copy of your personal data, you need to send a written request to: visitfyn@destinationfyn.dk . You may be asked to document that you are who you say you are.

The right to rectification

You have the right to have us rectify any incorrect personal data about you. If you become aware that there are errors in the information about you that we have registered, we encourage you to contact us in writing so that we can correct this information without delay.

The right to erasure

In certain circumstances, you have the right to ask us to delete all or parts of the personal data about you in advance of the time of our general deletion process. This applies, for example, if you withdraw your consent and we have no other legal basis for continuing the processing. To the extent that continued processing of your information may be necessary – for example, in order to ensure we can fulfil our legal obligations, including those set out in the Danish Public Administration Act or the Danish Archiving Act, or in order to establish, press or defend a legal claim – we are not obliged to delete your personal data

The right to limit processing to storage

In certain cases, you have the right to limit the processing of your personal data such that it consists exclusively or storage; for example, if you believe that the information about you that we are processing is incorrect.

If you are entitled to limited processing, we may henceforth only process the information – with the exception of storage – with your express consent, or with a view to establishing, pressing or defending a legal claim, or to protect a person or significant societal interests.

The right to object

In certain cases, you have the right to object to our otherwise legal processing of your personal data. You also have the right to object to the processing of your information for the purposes of direct marketing.

The right to data portability

In certain cases, you have the right to have personal data, which you have provided to us yourself, released to you in a structured, commonly used and machine-readable format, and to have these personal data transferred to another Data Controller.

The right to withdraw consent

You have, at all times, the right to withdraw a consent you have given us for a specific instance of personal data processing. If you would like to withdraw your consent, please contact us at visitfyn@destinationfyn.dk

The right to complain

You are, at all times, entitled to submit a complaint to the Danish Data Protection Agency, Borgergade 28, 5, DK-1300 Copenhagen K concerning Destination Fyn’s processing of your personal data. You can, for example, submit complaints by email to dt@datatilsynet.dk or on +45 33 19 32 00.

7. Security

We have implemented appropriate technical and organisational security measures to prevent personal data accidentally or unlawfully being destroyed, lost, altered or deteriorated, and to ensure that they are not misused and that they do not become known to unauthorised persons.

Only employees with a genuine need to access your personal data in order to perform their work have access to these data.

8. Changes to this information

If we make any changes to the present Data Protection Notice, we will inform you of same if we still have your personal data registered.
